Log in and select Business File to process the payroll.
On Menu, select "Payroll" and then "New Pay Event".
The below instructions cover all options for modification of pay details. If you have configured payment and don't need to make any changes, the process takes less than one minute.
New Pay Event page
Select Group of Employees and Period to process. Check the dates.
When the Pay Event will be created, all selected Employees will get added with their default details.
Start Date and End Date are pre-filled to next period after last processing dates.
Dates are also inter-locked to the Period; if you change Start, End will re-calculate. If you wish to update the date span, select 'Unlock Dates' first.
Check if there is already a Draft Pay Event created for your task.
Click Create Pay Event to continue:
- Pay Event will be created, and all selected Employees added with their default details.
- If Employee is marked as Paid from Timesheet, their timesheet for the period will be pulled and converted to Pay Records.
If all default pay details are correct, you can click Approve and Pay.
Pay Event Summary page
You can review and make changes to your Pay Event.
Multiple users can work on the same Pay Event.
Records are saved per employee on the Employee form, as they are presented.
Saving Pay Event details for employee overrides all changes made before, by you or any other user.
We recommend coordinating your work, so each user works on different employees.
You can add a Management Note — visible only to logged-in Payroll Managers — and a Payslip Note that will appear on each payslip for this pay event.
You can manage the entire employee record from this Pay Event: click Action Menu on the employee, then Remove Employee.
You can add an employee to this Pay Event: click "Add Employee" and select the employee. You will need to add their pay records.
To delete the entire Pay Event, click "Delete" and confirm.
See Warnings — check all missing data that will prevent, e.g. Superannuation Payment or Banking STP.
Pay Event — Employee Pay Details form
This form allows you to add, edit and delete pay details.
Pay details are divided into four categories:
1. Gross Payments — this is what is owed directly to Employees, e.g. their Salary, Annual Leave etc.
2. Super and Accruals — calculated on top of Gross Payments, and not directly owed to the Employee, e.g. accrued Annual Leave or Superannuation.
3. Taxes and Deductions — charged from Gross Payments, e.g. PAYG Withholding or any deductions such as Child Support, Garnishee, Donations, Union Fees etc.
4. Other Items — such as Fringe Benefits, reported on payslip and STP.
- To add an item, click "+ Add" below the grid.
- To edit an item, click on the cell you wish to update. You can update: Units, Rate, Site, Account.
- You can add multiple records of the same item, e.g. to divide Salary between two Sites. You can also split each Pay Event entry to control what appears on the payslip.
- To delete a line record, click the Action Button and select "Delete".
- You can add a Management Note (not visible on payslip, only to logged-in Payroll Managers), or a Payslip Note which will appear on the payslip below the Pay Event Payslip Note.
- You can look up the Timesheet for this employee — even if it was not used to create pay records.
- Use Recalculate if you updated the Employee record, e.g. changed their tax rate after creating this pay event.
- You must save the record before going back to Summary.
