Every invoice you email carries one link, View and pay your invoice online, to a page where your customer can see the invoice, download the PDF and pay. In Business Details › Online Payments you choose who takes card payments: Stripe, eWAY or PayPal (one at a time), or None. Exacc records each payment against the invoice for you.
Before you start
- An account with the payment provider you want to use: Stripe, eWAY or PayPal (business account).
- Your bank details in Business Details, so the invoice page can also show bank transfer details.
1. Set up the provider
Open Manage › Configuration › Business Details and the Online Payments tab. Set up the provider you want first: Activate for Stripe, Set up eWAY or Set up PayPal. Each one asks for its own details and for the accounts its payments are recorded in.
2. Choose who takes card payments
At the top of the tab, under Card payments on your invoices, pick Stripe, eWAY, PayPal or None. A provider you have not finished setting up is greyed out, with the reason underneath. The big status line shows what is live, e.g. Active: eWAY.
Only one provider is active at a time. Links you have already sent follow the change: the customer pays through whichever provider is active when they open the link.
3. Email your invoices as usual
Every invoice you email from Exacc now includes View and pay your invoice online. (Recurring invoices that Exacc sends on a schedule will carry it soon.) With None chosen, the line reads View your invoice online and the page shows your bank details only.
What your customer sees
The link opens the invoice: your logo and business details, the lines and GST, what has been paid, the amount due, a Download PDF button, a card (or PayPal) payment button and your bank transfer details. Card details are entered on the provider's own secure page; Exacc never sees them.
The customer can tick Save my card so you can charge future invoices to it as agreed with them. See "Charge a customer's saved card".
What happens in Exacc
The payment is recorded against the invoice straight away, into the clearing account and payment method you chose, and the invoice shows as paid or part paid. Stripe's and PayPal's fees are recorded as an expense; eWAY's fees come off when eWAY pays the money into your bank.
If a customer pays and closes the browser before returning to Exacc, Exacc asks the provider itself and records the payment within the hour. You do not need to record it by hand, and the customer should not pay again.
Questions
Can I offer Stripe and PayPal at the same time?
No. One provider takes card payments at a time. You can switch at any time in Online Payments, and links already sent follow the switch.
Does the customer have to pay the whole invoice?
Online payments are for the full amount still due. For instalments, use a payment plan, or charge a saved card for part of the amount.
Are refunds recorded automatically?
No. Refund in the provider's own dashboard, then record the refund in Exacc.
