When a customer pays an invoice online they can tick Save my card (or PayPal account). Later, open one of their invoices and click Charge saved card: pick the card, check the amount and click Charge. The payment is recorded against the invoice and the customer is emailed. Only charge as agreed with the customer.

In Exacc: Sales › Invoices › Manage Invoices

Before you start

  • Online payments set up with Stripe, eWAY or PayPal.
  • The customer saved a card or PayPal account when paying one of your invoices online.
  • An agreement with the customer that you may charge it (e.g. in your terms or contract).

1. Open the invoice

Open Sales › Invoices › Manage Invoices and click the invoice you want to charge. Charge saved card appears in the Payment section next to Create Payment for Invoice. It is shown only when the invoice has something owing and the customer has a saved card.

2. Choose the card and amount

Click Charge saved card. Pick the card or PayPal account. The amount starts at the balance due; lower it to charge part of the invoice. You cannot charge more than is owing.

3. Charge

Click Charge $…. The payment is recorded against the invoice and the customer is emailed the amount, the card used and the provider's reference, with a link to remove the card if they no longer want you to keep it.

If the charge does not go through

A declined card shows the reason and nothing is recorded. If the provider did not answer in time, Exacc says so: the card may have been charged. Check in your Stripe, eWAY or PayPal dashboard before trying again, so the customer is not charged twice.

Removing a saved card

In the Charge a saved card window, click Remove next to the card, then Yes, remove. It is removed for good and can no longer be charged; the customer can save one again the next time they pay. Customers can also remove their own saved cards on the invoice page.

A card saved under a payment account you no longer use is shown greyed out. It cannot be charged, but you can remove it.

Questions

Can I charge a saved card automatically every month?

Not yet. Each charge is made by a person from the invoice, and the customer is emailed each time.

Do I ever see the card number?

No. Exacc stores only a reference from the provider and a label such as "Visa ending 1111".
