Don't switch the old employee record back to Active. Open the person, Employment tab, and click Rehire on their Terminated record, then enter the new start date. Exacc creates a new employee record with the same pay, tax and super settings, keeps the old employment as history, and asks you to enter their bank details again.
Before you start
- You are an administrator of the business file: only administrators can rehire.
- The earlier employment is finished: its record has a finish date, a cessation code and the status Terminated. If you already switched it back to Active, set it back to Terminated with its original finish date and cessation code first.
1. Open the person's employment records
Open the person from Employees (show all statuses, not just Active) and go to the Employment tab. Someone with an earlier employment sees a list of their employment records first: Active or Terminated, when each started and, for a terminated one, when it finished and why. The active record is at the top, then the most recent.
Click a record to open its details. All employment records takes you back to the list.
2. Rehire
Click Rehire on the Terminated record and enter the New start date. Rehire is offered only while the person has no active record.
- New start date (required) - The first day of the new employment.
3. Check the new record and enter the bank details
Exacc opens the new employee record. It has the new start date, no finish date and the status Active, and it carries over the pay rate, pay cycle, tax and super settings (including the super fund and member number) from the earlier record. Check them against the new employment.
Bank details are not copied: enter the payment details on the new record before their first pay.
Why not reactivate the old record?
Each employment is reported to the ATO on its own, with its own start and finish. Switching the old record back to Active turns the earlier employment into an unfinished one and mixes two employments into one record. Rehire leaves the earlier employment exactly as it was reported.
Super fund
If the person has changed fund or product since, update the super fund on the new record. A fund such as a large master trust can have many products under one ABN, so choose the product by its USI. Confirm the correct USI with the fund first: contributions sent with an incorrect USI are refused.
Questions
Rehire says the employee has been rehired already.
The person already has an active employee record, so there is nothing to rehire. Open the active record from the list instead.
I don't see the Rehire button.
Rehire appears on a Terminated record, for administrators of the business file, and only while the person has no active record.
