In Exacc Go open the Logbook tab, add the vehicle, then tap New Trip for each trip: odometer start and end, purpose, and Business or Private. Exacc works out the distance and the business-use percentage. When the logbook period ends, tap Finish and use Download PDF for your records.
Before you start
- The Exacc Go app on your iPhone or Android phone, signed in to the business file (see Invoicing in Exacc Go).
- The car's current odometer reading.
1. Open the Logbook tab
In Exacc Go, tap Logbook (the car icon) at the bottom. It lists the vehicles in this business file with their status; search by make, model or rego.
2. Add the vehicle
Tap + (Add vehicle) and fill in the details, then save.
- Make and Model (required) - for example "Toyota Corolla".
- Engine Type - optional.
- Rego State - the state the car is registered in.
- Rego Number (required) - the registration plate.
- Driver (required) - the user who holds this logbook.
- Start Odo Read - the odometer reading when the logbook starts.
- Logbook Started (required) - the first day of the logbook period.
- Notes - anything else you want to keep with the logbook.
3. Record a trip
Open the vehicle and tap New Trip. Odo Start is filled in from the end of the last trip; enter Odo End and Exacc shows the Distance. Tap Save: "Trip record created."
- Driver (required) - who drove; defaults to you.
- Odo Start (required) - the odometer at the start of the trip.
- Odo End (required) - the odometer at the end. A trip must be at least 1 km.
- Purpose (required) - why you made the trip, for example "Site visit, Example Pty Ltd".
- Type - Business or Private.
- Start Date (required) - the day the trip started.
- End Date (required) - the day it ended; not before the start date.
- Client - optional: the client the trip was for.
- Task - optional: a project task. With a client chosen, only that client's tasks are listed.
4. Check business use
The vehicle screen shows Business use to date: business kilometres as a percentage of all kilometres in the logbook. Tap a trip to change it. Only the latest trip (by odometer) can be deleted.
5. Finish the logbook
At the end of the logbook period, tap Finish. If the logbook covers fewer than 91 days (13 weeks), Exacc warns you and asks you to confirm a finish date before it closes it. A finished logbook takes no more trips.
6. Download the PDF
Tap the ⋯ menu on the vehicle and choose Download PDF for the logbook report. The same menu has Details, Edit and Delete.
On the web
The same logbooks are on the web, on the Logbook page of the business file: add vehicles and trips, review them and download the PDF there too.
What Exacc Go does not do
Exacc Go does not track trips by GPS. You enter the odometer readings yourself, during or after each trip.
Questions
How long should I keep a logbook?
The ATO asks for a logbook covering at least 12 continuous weeks. Exacc warns you if you finish one that covers fewer than 91 days. Check the ATO's rules or ask your accountant for your situation.
Can I record private trips?
Yes. Set Type to Private. Private kilometres count in the total, so the business-use percentage stays correct.
