Start & Users (11)

Create your Exacc account

Sign up for Exacc: your details, email code, SMS code and authenticator app. Free onboarding, no credit card. Takes about five minutes.

Set up a business file

Create your first Exacc business file with your subscriber account, add more files later, or start a demo file with sample data.

Manage your subscriber account and team

Your subscriber account organises your team, your business files and payment. Add members, control their access, and link it to the ATO.

Invite a user to your business file

Give a team member, employee or your accountant access to an Exacc business file, then choose what they can see and do with roles.

Add a user or employee without a login

Create a person in your business file who does not log in, such as an employee you pay, and give them a login later if they need one.

Update your business details

Set the business name, ABN, GST, logo, contact details, bank accounts, Stripe card payments and ATO link that Exacc uses on invoices and reports.

Link Exacc to the ATO

Get your SSID in Exacc, add it in the ATO's Access Manager as your hosted software service, then click Yes I Did - so you can lodge STP, BAS and TPAR.

Short answers about Exacc: who it is for, pricing, security, bank feeds, invoicing, BAS, STP, payroll, users, reports, the Exacc Go mobile app and getting help.

General settings

Financial year, lock date, GST, default accounts, invoice numbering and defaults, timesheet units and payroll options for your business file.

Set up departments and sites

Organise your business into departments and the sites (locations) under them, then use sites on invoices, timesheets, journals, payroll and reports.

Find and manage attached files

See every file uploaded to a business file, open the record it belongs to, download it, add notes, and upload files that are not linked to anything yet.

Invoicing & Payments (16)

Payment methods

Set up how you are paid and how you pay (cash, EFTPOS, direct deposit, card) and the account each one records the money in.

Payment terms

Set up payment terms such as 14 days or end of next month: they work out the due date on invoices and bills, and each customer can have their own.

Create and send an invoice

Create a tax invoice in Exacc, post it, and email it to your customer with a PDF and an optional pay-now link. On the web or in Exacc Go.

Find, edit, copy or delete invoices

Search and filter invoices, quotes, credit notes and templates, see what is still owed, and edit, duplicate or delete an invoice.

Invoice from timesheets

Turn recorded time into an invoice: pick the client, choose how to price and describe the time, select the entries and create a draft invoice.

Create and send a quote

Prepare a quote for a customer, email it as a PDF, track its status and turn it into an invoice when the customer accepts. On the web or in Exacc Go.

Set up recurring invoices

Have Exacc issue the same invoice every week, month or year and email it to the customer automatically, from a saved invoice template.

Save invoice templates and line items

Save the things you sell as line items that fill in price, account, tax and description, and save whole invoices as templates for recurring billing.

Create and apply a credit note

Credit all or part of an invoice, send the credit note to the customer, and use it to reduce what they owe on this or another invoice.

Record a customer payment

Record money a customer paid and allocate it to one or more invoices, in full or in part, including credit notes. Edit or delete a payment later.

Split an invoice into instalments

Set up a payment plan so an invoice is due in weekly, fortnightly or monthly instalments, or on dates you choose.

See payment history

Find the payments on one invoice, a customer's full history of invoices and payments, or every payment received in a period.

See who owes you (receivables)

See every customer who owes money, how overdue it is by age group, when they were last reminded, and act on it: statement, payment or notes.

Send statements and payment reminders

Email a customer their statement of what they owe, or send reminder statements to every customer who is overdue, from Receivables.

Take card payments with Stripe

Connect Stripe so customers can pay invoices by credit or debit card from the invoice email. Payments are recorded in Exacc automatically.

Invoicing in Exacc Go, the mobile app

Create and send invoices, quotes and credit notes, record payments and chase debtors from Exacc Go, the mobile app on your phone.

Accounting (16)

Run your accounts in Exacc

The bookkeeping cycle in Exacc: bring in transactions (bank feeds, CSV, manual entries), code them in Process feeds, check the bank, then report and lodge.

Connect your bank (bank feeds)

Connect your bank accounts to Exacc through Basiq so transactions arrive daily, link each to an account in your chart of accounts, and manage connections.

Code your bank transactions (process feeds)

Turn bank feed and imported transactions into entries: apply a suggestion or bank rule, Quick Add, match an invoice, bill or payment, or disregard a duplicate.

Create bank rules

Bank rules code recurring bank transactions for you: match words in the description, then post to an account and tax code, or split over several lines.

Check your bank balance (reconcile)

Make sure Exacc agrees with your bank: process every feed transaction, then compare the balance in Bank Statement with your bank's balance on the same day.

Import bank transactions from a CSV file

Import a bank statement CSV into Exacc: map the columns, import, then code what needs it. Rows with an account and tax code are posted straight away.

Turn a PDF bank statement into a CSV file

Convert a CBA, ANZ, NAB, AMEX or Westpac PDF statement into a CSV file you can check and then import into Exacc.

Record money spent or received

Record a payment out of or into a bank account that has no invoice or bill: Spend Money or Receive Money, with accounts, GST and a contact.

Enter a general journal

Enter a general journal in Exacc: debit and credit lines with accounts and GST, private portion, memo. Save it as a draft or post it once it balances.

Set up your chart of accounts

View, add, edit, copy or deactivate accounts in your Exacc chart of accounts: account number, name, type, default tax code and postable bank accounts.

GST and tax codes

How GST works in Exacc: registering for GST, cash or accruals, your tax codes and their rates, and how lines on your transactions flow into your BAS.

Review transactions before you report

Find what needs a second look before you run reports or lodge a BAS: records marked for review, drafts, the suspense account and varied GST.

Change many transactions at once (Find & Update)

Find transactions by date and account and change their date, account, tax code, contact, site or private portion in one go. There is no undo.

Lock a finished period

Lock your accounts up to a date (after a BAS or the end of the year) so nothing dated on or before it is added or changed. Administrators only.

Attach receipts and files to transactions

Attach receipts, invoices and other files to a journal or bank transaction, keep loose files in Your files, and capture receipts in Exacc Go, the mobile app.

Depreciate fixed assets

Add a fixed asset in Exacc and let it post depreciation each month, prime cost or diminishing value; change its accounts or site, or dispose of it.

Payroll & Timesheet (11)

Add an employee

Set up an employee for payroll in Exacc: their details, employment record, pay rate, tax declaration and TFN, super fund and bank account, then invite them in.

Set up payroll

Set up payroll: pay items (earnings, allowances, deductions, super) and their STP reporting groups, pay groups, pay cycles, leave types and occupations.

Run a pay event

Run payroll in Exacc: create a pay event for a pay cycle, check each employee's pay, approve it, pay by ABA file, send payslips and lodge STP.

Lodge STP and amend a pay event

Report a pay event to the ATO with Single Touch Payroll (STP), check the ATO's response, and correct a lodged pay event with an amendment.

Finalise STP at the end of the financial year

Make your employees' year-end figures final with the ATO (STP finalisation, by 14 July) from the last pay event of the financial year.

Pay super (PayDay Super and SuperChoice)

Pay employee super through SuperChoice: with each pay event (PayDay Super) or for a date range, by direct debit or credit, or with a SAFF file.

When an employee leaves (final pay)

Finish an employee in Exacc: finish date and cessation reason, the payout estimate, their final pay event with unused leave and lump sums, and STP.

Enter your timesheet

Record time in Exacc on the web or in Exacc Go: client, activity type, description and time, chargeable or not. Timesheets feed invoices and pay runs.

Set up activity types

Activity types describe the kinds of work on timesheets: how they are charged (fee and cost factors) and which pay item pays employees for them.

Request and approve leave

Employees request leave in Exacc; managers enter, approve or decline it. Approved leave is paid in the next pay event for those dates.

Employee self-service (My Details)

What employees can do themselves in Exacc: update their details, tax declaration, TFN, bank accounts and super fund, see their pay history and request leave.
